AI Integrator LLC
Effective October 7, 2026
The short version
- This policy covers the AI Integrator app: the Command Center at aiintegratorhq.com and the AI Integrator connectors you add to your AI assistant. When you choose Connect Google, you sign in with Google and approve the permissions listed in Section 3.
- We use your Google data only to do what you ask: read, find, draft, send, organize and update your own email, calendar, files, documents, contacts, to-dos, meeting records and Chat spaces, and, if you are a Google Workspace admin, your organization's groups and reports.
- We never sell your Google data, never use it for advertising, and never use it to train AI models.
- You can disconnect at any time from the Command Center or from your Google Account permissions page. Section 7 explains how to have your data deleted.
1. Who we are
AI Integrator LLC ("AI Integrator," "we," "us") makes and runs the AI Integrator app. Our mailing address is 3313 W Cherry Ln, Ste 654, Meridian, ID 83642, US. Questions about privacy go to privacy@aiintegratorhq.com.
This policy is about people who sign in to the app and connect their accounts. If you only visit our website, our website privacy policy applies instead.
2. Google API Services User Data Policy and Limited Use
AI Integrator's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
In plain words, for data we receive from Google:
- We use it only to provide and improve the features you can see and use in the app, the ones that need that data.
- We transfer it to others only when that is needed to provide those features, to follow the law, to keep the app secure, or as part of a merger or sale of the business with your data still protected the same way.
- We never use it to serve advertising, including retargeting, personalized or interest-based ads.
- We never sell it, and we never use it to decide whether someone gets credit or a loan.
- People at AI Integrator do not read it, except when you ask us to (for example to help with a support problem), when it is needed for security or to investigate abuse, when the law requires it, or when the data has been made anonymous and combined for internal operations.
- We do not use Google Workspace data, or any data we get from Google APIs, to develop, improve or train generalized or non-personalized AI or machine-learning models.
AI Integrator's use of raw or derived user data received from Google Workspace APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. That includes the AI features in the app: AI Integrator does not use Google Workspace data to develop, improve or train AI or machine-learning models, and does not send it to any AI service to train that service's models.
We never transfer Google user data to advertising platforms, data brokers or information resellers.
3. The Google data we access, and why
When you connect Google, the Google sign-in screen lists what you are approving. You can leave any section off, and the parts of the app that need it will tell you that it is off. Here is each permission and what it is used for.
| Section | Google permission | What the app does with it |
|---|---|---|
| Sign-in | openid, email, profile | Knows which Google account you are, so the app can sign you in to your own company and show your name. |
gmail.modify | Reads and searches your mail when you ask, and drafts, sends, labels, archives and moves mail to the trash at your request. Also checks your inbox for people who asked to stop getting messages, so we can honor that. If your company turns them on, two features also run on a schedule: one tidies your inbox by labeling and archiving mail that matches rules you approved, and one checks your inbox for replies asking us to stop writing. | |
gmail.settings.basic | Creates a Gmail filter and shows your existing filters, when you ask. A filter only labels, archives, marks as read or stars mail. It never forwards, deletes or sends mail to spam. Also turns your vacation auto-reply on or off, changes the language Gmail shows itself in, and changes the name shown on an address you already send from, when you ask. You're asked before every auto-reply change, because Gmail then answers incoming mail by itself. | |
| Calendar | calendar | Shows your schedule, and creates, moves and updates events and invitations when you ask. |
| Files & storage | drive | Finds, opens, lists, creates, copies, updates, labels, comments on and deletes files and folders in your Drive when you ask, Google Sheets too. That includes files other people shared with you, such as a meeting transcript in the organizer's Drive. Also reads the responses to your Google Forms. |
| Files & storage | drive.activity.readonly | Reads who did what to a Drive file or folder you name, and when, for example who edited, renamed, moved or shared it, when you ask. It only reads and changes nothing. |
| Docs | documents | Reads and writes the text of a Google Doc when you ask, for example to write up a call. |
| Meeting records | meetings.space.readonly | Reads your Google Meet meeting records, recordings and transcripts so the app can prepare a summary for you. |
| Contacts | contacts.readonly, contacts | Looks up and saves the people you work with in your Google Contacts when you ask. |
| To-dos | tasks | Reads, adds and checks off your Google Tasks when you ask. |
| Chat | chat.spaces | Reads a Chat space, renames a named space, and pins or unpins a message, when you ask. |
| Chat | chat.memberships | Adds people to a Chat space or removes them, when you ask. |
| Chat | chat.messages | Changes the words of a Chat message you sent yourself, when you ask. It never deletes a message. |
| Chat | chat.users.readstate | Marks a Chat space read or unread for you only. |
| Workspace admin | admin.directory.group | For Google Workspace admins only: lists your organization's groups, creates or renames a group, adds people to it and changes their role, when you ask. |
| Workspace admin | admin.directory.userschema | For admins only: reads, adds and updates your organization's custom fields on user profiles, when you ask. |
| Workspace admin | admin.directory.resource.calendar | For admins only: lists, adds and updates your organization's buildings, when you ask. |
| Workspace admin | admin.reports.audit.readonly | For admins only: reads your organization's activity reports, for example sign-ins and file sharing, when you ask. |
| Workspace admin | admin.reports.usage.readonly | For admins only: reads your organization's usage reports, for example how many people use each Google app. |
Every one of these acts happens because you, or the AI assistant you connected, asked for it, or because your company turned on one of the scheduled features above. Any act that other people can see, such as sending an email or changing a shared Chat space, is shown to you first and waits for your approval, unless your company's administrator has chosen to let it go without asking. Before any email is sent, every recipient is checked against the email choices they've made with your company, and mail to someone who asked to stop is held.
Aggregated and anonymized data. We don't build aggregated or anonymized data sets from your Google data. If you're a Google Workspace admin and ask for your organization's usage or activity reports, the app shows you the reports Google itself produces.
4. How we store and protect it
- Your Google sign-in. We keep the sign-in token Google gives us so the app can act for you without asking you to sign in every time. It is encrypted with AES-256-GCM before it is saved, and the key is kept separately from the database.
- Your Google content (email, files, events, documents and the rest) is read from Google at the moment it's needed and shown back to you. We keep a copy only where a feature you use saves one: a draft the app wrote for you to review, a call summary you asked for, a note that someone asked to stop getting messages, and, for inbox features, a short record of a message (who it's from, its subject, its date and Gmail's message ID) instead of the message itself.
- A record of each act. We log which act ran and whether it worked, so you can see what was done for you. The log does not keep the content of your messages or files.
- Data is sent over encrypted connections (HTTPS) and stored with our hosting and database providers. Only the people who run the app can reach those systems, and only to keep it working and secure.
5. Who we share it with
- You, and the people in your company you choose. The Command Center shows your data to you, and to others in your company only where you or your company set that up.
- The AI assistant you or your company connect. If you add AI Integrator to an AI assistant (for example Claude), the Google data you ask about is sent to that assistant so it can answer you. Some features also use your company's own Claude account or your company's own Anthropic API key to draft or rewrite a message for you. Anthropic is the only AI provider the app sends Google data to. Anthropic's Commercial Terms, which cover its API and its business plans, say it may not train its models on that data, unless the customer chooses to share it, for example by sending Anthropic feedback. If you connect a personal Claude plan, its setting that lets Anthropic use your chats to improve its models must stay off while you use AI Integrator with Google data.
- Our service providers, who host the app and its database for us under contracts that limit their use of your data to running our service.
- Other tools your company connects. When a feature you use needs it, Google data goes to another tool your company connected to AI Integrator, and only for that feature. For example, when your company's CRM is connected and you send an email to someone in it, the email is sent through the CRM so it's recorded on that person's history there.
- When the law requires it, or to protect the safety and security of our users and the app.
We do not sell Google user data or share it with anyone for advertising.
6. How long we keep it
- Your Google sign-in token: until you disconnect Google or your account is deleted. Then we delete it.
- Copies a feature saved (Section 4): for as long as your company uses the app. When you ask, or when your company stops using AI Integrator, we delete them within 30 days. A request to stop contacting someone is kept in your company's own database, which leaves with your company.
- The act log (which act ran, when, and whether it worked, with no message or file content): while your company uses the app, for security and support. It's deleted with your company's other records.
- Backups: deleted data can remain in our database provider's backups until those backups expire on the provider's schedule.
7. Your choices: disconnecting and deleting
- Disconnect in the app. In the Command Center, open Settings, then Connectors, and choose Disconnect next to your Google account. When no one else at your company still uses that Google account through AI Integrator, we delete its stored sign-in token.
- Disconnect at Google. Go to myaccount.google.com/permissions, choose AI Integrator, and remove its access. The app can no longer reach your Google account.
- Ask us to delete your data. Email privacy@aiintegratorhq.com from the address you signed in with. We delete your stored Google token and any Google data a feature saved for you within 30 days, and tell you when it is done.
8. Children
The app is a business tool and is not meant for anyone under 18. We do not knowingly collect data from children.
9. Changes to this policy
If we change how we use Google user data, we will update this page and its date first, and ask for your permission again where Google or the law requires it.
